Quick Start
Get your first project running in Vanillaround in about 15 minutes.
Step 1: Create your account
Section titled “Step 1: Create your account”Go to vanillaround.com and sign up with your email address. You’ll receive a verification email — click the link to activate your account.
If your organisation already has a Vanillaround account, ask your account owner to invite you instead of creating a new one.
Step 2: Create or join a business account
Section titled “Step 2: Create or join a business account”After verifying your email, you’ll be prompted to create a Business Account. This is your organisation’s shared workspace — all projects, teams, and billing live here.
If you’re joining an existing organisation, you’ll receive an invitation email from the account owner and can skip this step.
Step 3: Create your first project
Section titled “Step 3: Create your first project”From the Projects screen, click New Project. Give it a name that reflects what you’re building — a product name, a module, or a phase of work.
A project is the top-level container for all your specs, cards, boards, and members.
Step 4: Invite your team
Section titled “Step 4: Invite your team”Go to Project Settings → People → Invite. Add your team members by email and assign each one a role:
- Provider — your delivery team (developers, designers, analysts)
- Client — your stakeholders and decision-makers (product owner, business sponsor)
You can invite people who don’t yet have a Vanillaround account — they’ll receive an invitation email to sign up.
Step 5: Write your first spec
Section titled “Step 5: Write your first spec”Open your project and click New Page in the specs sidebar. Give the page a name (for example: “User Authentication”) and start writing.
A spec page is a rich-text document. Use headings to structure sections, bullet points to list behaviours, and tables for decision matrices or data mappings.
Step 6: Add a requirement card
Section titled “Step 6: Add a requirement card”Within your spec page, type / to open the block menu and select Requirement Card. A card is inserted inline — it has a heading, a type label, and metadata fields.
Fill in the card:
- Give it a descriptive title
- Set the type (Feature, Bug, Enhancement, etc.)
- Assign the relevant team members
Step 7: Submit for approval
Section titled “Step 7: Submit for approval”When a card is ready for the Client to review, open the card’s approval section and click Submit. The assigned Client members will be notified and can approve or reject the requirement directly in Vanillaround.
