Mentions and Notifications

Vanillaround uses mentions and notifications to keep the right people informed without requiring everyone to monitor the tool constantly.

Type @ followed by a team member’s name anywhere in a spec page to mention them. As you type, a dropdown appears suggesting matching members. Select a name to create the mention.

When someone is mentioned:

  • They receive an in-app notification with a link to the exact location in the document
  • They receive an email notification with a preview of the context around the mention

Mentions work for both Providers and Clients. Use them to draw a specific person’s attention to a section of a spec, flag a question, or request a review.

Beyond manual mentions, Vanillaround sends automatic notifications for key events:

EventWho is notified
Card submitted for approvalAll Client members assigned to the card
Card approvedProvider members assigned to the card
Card rejectedProvider members assigned to the card
@mention in a spec pageThe mentioned user
Invitation to a projectThe invited user
Team invitationThe invited user

The notification bell in the header shows all unread notifications. Click any notification to navigate directly to the relevant page or card.

Email notifications are sent to the address associated with each user’s account. They include enough context to understand what happened and a direct link to act on it.

Users can unsubscribe from email notifications via the unsubscribe link in any notification email.

The Project → Progress → Mentions view shows all mentions within the project in one place — useful for a project manager tracking outstanding feedback requests or Client responses.
